Overview of how to process EFT Files with addy
⚠️ Important Note: EFTs will only be processed if submitted before the cut off period for that day. If submitted after the FI's daily cut off period, the file will be rejected with the error message “INVALID TRANSACTION DATE FOR PROCESSING”. The file will then need to be reset and re-uploaded per the instructions below.
Step 1: Generate Your EFT File from the addy System
-
Log in to your addy Business account
-
In the navigation, go to the "EFT Process" drop-down and select “80 Byte Downloads” under the EFT Files section.
⚠️ You’ll see options for both CAD and USD. You must generate and upload each currency file separately.
-
Click “Generate Debit EFT File” for pulling funds from members’ bank accounts (authorized via PAD). This will download a file you will need to upload to your Financial Institutions Business Banking portal.
-
Click “Generate Credit EFT File” for pushing funds to members’ addy wallets.
Step 2: Upload the File to your Financial Institutions Business Banking Portal
-
Log in to your Financial providers Business Banking.
- Follow the instructions provided by your FI to complete the file submission steps.
Step 3: Dual Authorization (If enabled)
Once the file has been authorized, it still needs a second approval. Before it is sent to the FI for processing.
Step 4: Post-Submission — Check File Status
It is important to check the submission status of the files you have processed. Most of the time your file should just show as "Accepted" but there will be some scenarios where the file may have been "Accepted with Errors" or "Rejected". You will need to action these files to sync the bank account with the addy system. Note that most FI's will take 1-2 hours to return the status of the file you uploaded.
You’ll see a status for each file:
-
✅ Accepted = success!
-
⚠️ Accepted with Errors = File was accepted but there are a few transactions that automatically failed before they were even sent for processing. (This is typically because the account does not exist or is closed.)
-
❌ Rejected = There’s an issue.
If you see an Accepted with Errors or Rejected file follow the steps listed in the Processing Rejected or Returned EFT Payments
Step 5: Daily Checklist — Rejected or Returned Payment Review
Every morning, before uploading new files, you must:
-
Go to Activity List → Payments Sent to Bank to check yesterday’s files.
-
Also review Returned Payments from the dropdown.
-
If there are any rejections or returns, follow the SOP:
