When you (or someone on your team) upload a file, Clerk scans it, understands what it is (like an appraisal, financial statement, or subscription agreement), and files it in the correct category within the correct property or entity account.

How It Works

1. Upload a File — Any File

Just drop your document into addy Business under any property or entity account or use the Conductor Agent to email in files.

Clerk supports:

• PDFs

• Excel files

• Word docs

• Images with embedded text (like a photo of an invoice)

2. Clerk Gets to Work

Clerk reads the file contents using document understanding models that have been trained on thousands of real estate documents. It extracts key details like:

• Property address

• Document type (e.g., mortgage statement vs. appraisal)

• Issuer or recipient

• Date and version history

It then looks at the context of the upload (who uploaded it, where it came from, and any associated property metadata) to file it correctly.

3. Smart Filing

Clerk files the document in:

• The correct property or entity account

• The appropriate document category (like “Legal – Appraisal” or “Finance – Bank Statement”)

• With helpful metadata, like upload date and document source

You’ll see the document appear under the correct tab without lifting a finger. 🎯

Edge Cases & FAQs

❓What if Clerk doesn’t recognize the document?

It’ll flag the upload and leave it uncategorized. You’ll see a prompt to manually categorize the file.

We’re also training Clerk continuously — so if you correct it, it learns and gets better over time.

❓Can Clerk move documents that were filed incorrectly in the past?

Yes! You can re-process old uploads by selecting "Re-run with Clerk" on any document, and Clerk will try to reclassify and move it to the right place.

❓Does Clerk work across all properties and entity types?

Yup. Whether the file is related to an investment property, corporate document, or limited partnership, Clerk can handle it.

❓Will Clerk ever delete or overwrite documents?

Never. Clerk is a filer, not a deleter. It will move documents, but it doesn’t trash or overwrite anything.

❓Can I turn Clerk off?

If you prefer manual control, Clerk can be disabled at the account level. But we think once you use it, you’ll never want to go back.
